Perform duties to provide administrative and clerical support to the FOIA Administrator.

ESSENTIAL JOB FUNCTIONS:

  • Collect, log and prepare documentation in response to FOIA requests in accordance with FOIA and District regulations.
  • Assist in the management of the District’s FOIA Records Management protocol.
  • Maintain database which contains all FOIA request data and update each entry as needed throughout the life of the request/appeal, paying particular attention to dates and timelines.
  • Maintain paper and electronic files of all requests and appeals.
  • Draft communication to requesters, including acknowledgement of receipt, status updates, and partial and final decision letters.
  • Communicate with the requester and others as necessary, to refine request, negotiate alternate time periods and respond to inquiries.
  • Communicate regularly with the FOIA Administrator regarding the status of FOIA requests.
  • Review records and work closely with District staff to locate materials/documentation which are responsive to FOIA requests.
  • Determine, which if any, disclosure exemptions apply to records and redact and non-releasable portions.
  • Prepare and send records with documentation to requester, as necessary.
  • Draft communication to the Board of Education related to FOIA decisions.
  • Participate in annual FOIA training.
  • Use personal computer and general office equipment, including copier, scanner and fax machine. Demonstrate proficiency using the technology and computer/web based programs provided by the District (Word, Power Point, Excel).
  • Plan, organize, maintain and update a variety of files, communications, records and databases.
  • Perform other duties as assigned.

  • Ability to describe problems and work orally or in writing to supervisor as required.
  • Ability to establish and maintain cooperative working relationships with others contacted in the course of work.
  • Ability to carry out instructions furnished in written or oral form.

  • PHYSICAL ABILITIES:
    Works in standard office and school building environments.

    EDUCATION/CERTIFICATION/QUALIFICATIONS PROFILE:
    Any combination of education and experience providing the required skill and knowledge for successful performance would be qualifying.
    Typical qualifications would be equivalent to: 2 years of college and 3 years of experience
    Successful experience with office management preferred.
