Provides a variety of complex administrative assistance to the Associate Vice President for Business Affairs who is responsible for the Finance and Accounting department. Assists with projects, research, and the development and coordination of marketing materials such as brochures, flyers and pamphlets. Prepares PowerPoint presentations to be presented by the Associate Vice President at national conferences, MTC Commission meetings, Executive Council meetings and other high-profile events. Assists in the data collection, preparation and submission of financial reports.
Provides administrative support to the Associate Vice President's direct reports/managers who supervise specialized units within the Finance and Accounting department. Assists with the coordination and collection of information and materials by creating PowerPoint presentation, flyers and brochures for meetings and for the advertisement and awareness to the college community of the services provided by the different units of the Finance and Accounting department. Ensures information is current and accurate and that presentations are concise and legible.
Responsible for the Associate Vice President's calendar to include coordinating meetings, travel arrangements and other activities. Ensures the Associate Vice President is up-to-date on all meetings and/or changes in the calendar. Coordinates the logistics of the meetings, conferences and other events to include compiling of agendas, audiovisual needs and other required materials. Types correspondences. Prepares, coordinates and processes documents related to the Resource Management Committee of the MTC Commission.
Manages and maintains the departmental budget. Coordinates all purchases for the Associate Vice President and the department. Responsible for the fiscal management, procurement management and ensuring compliance with budget and procurement guidelines and procedures. Coordinates all request for proposals for services needed.
Serves as the liaison between students, parents, outside agencies and the Vice President for Business Affairs relating to student account issues to include account analyzation, correspondence preparation, and the compilation of information from other areas within the College.
Supervises and coordinates the workflow for the administrative front desk support staff for the department. Reviews the work of the support staff to ensure performance meets the departmental standards and expectations. Provides training to support staff in areas of skill sets, telephone techniques, use of the difference software and systems utilized within the department and other areas of professional development.
Minimum and Additional Requirements:
Bachelor's degree and one year related work experience; or an associate degree and three years related work experience, or high school diploma and five years related work experience.
Advanced knowledge of computer applications such as Word, Excel and PowerPoint. Ability to effectively plan and organize work activities and prioritize task completion according to schedules and goals. Ability to supervise and provide training to the front desk administrative position. Ability to interact with the public courteously and effectively.
