Wayzata Cosmetic Surgery and Spa is now hiring an Administrative Assistant for our woman's health clinic and medical aesthetic spa practice. This position has a variety of heavy administrative, technology and general office assisting responsibilities and individual should be open to wearing many hats in our busy clinic. Looking for a team player with a great attitude. This is a full-time opportunity.

Duties Include:

  • Update and maintain POS and EMR with service or product additions and act as a "super user" for these systems.
  • Open and distribute mail and deliveries and prepare mailings.
  • Make travel arrangements, coordinate clinic calendars, schedules, education, vendor trainings, speaking engagements &/or events.
  • Prepare PowerPoint presentations, SOPs, internal documents and marketing collateral.
  • Maintain protocol and user guide manuals and technical maintenance logs on all tools, technologies, lasers, and office equipment, and perform any necessary trouble shooting.
  • Ordering and inventory of retail products and office supplies.
  • General organization, stocking, and cleanliness of common areas such as lobby, retail, restroom, break room, etc.
  • Assist in creation, implementation and tracking of marketing initiatives and materials, and update and maintain stock of internal clinic documents and marketing collateral.
  • Data collection, entry, tracking and reporting on specific program, marketing, conversion and other metrics.
  • Coordinate completion and submission of clinic, office, vendor, insurance and HR related paperwork, applications, contract, etc.
  • Back up to front desk: answer phones, scheduling, patient check-in/out, etc.
  • Other research, special projects, and project management, as needed


  • Microsoft Office Suite experience is a must.
  • Technology savvy.
  • Experience with electronic medical records, patient management systems and point of sales systems ideal.
  • Experience with Adobe Creative Suite and Google Suite is a plus.
  • 2+ years experience as Administrative Assistant, ideally in a medical spa, aesthetic &/or clinic setting.
  • High School diploma required, Associate’s Degree preferred
