About the Job
The EOAA administrator is responsible for all day-to-day administrative management of EOAA, including managing the budget, purchasing supplies, managing department website content, maintaining case file records, managing data systems, and serving as the office’s liaison to other University offices, among other things. The administrator is also responsible for planning and providing support for EOAA educational programs, webinars, conferences and other programs. The administrator conducts intakes of potential complaints of discrimination, harassment, sexual misconduct, nepotism and related retaliation. In doing so, the Administrator must handle confidential and sensitive information and use discretion to determine case assignments. The administrator supervises the office’s student worker, provides administrative support to all of EOAA’s staff, and reports to the Assistant Director of EOAA.
Duties and Responsibilities:

  • Open and close case file records. Develop and maintain a case filing system, in consideration of record retention guidelines. Coordinate and maintain EOAA’s case database, including auditing records for data integrity. Assist in responding to data requests about EOAA’s cases.
  • Answer office phones and respond to office emails. Perform initial intake of EOAA complaints, which require handling of confidential and sensitive information.
  • Manage and coordinate office needs relating to accounting, equipment, supplies, maintenance agreements, office space utilization, and EOAA’s purchasing card.
  • Monitor EOAA’s finances and prepare quarterly and annual budget reports with the EOAA Director and in conjunction with OED.
  • Manage, prepare, and maintain confidential personnel files, including payroll documents and vacation/sick leave records, for EOAA employees.
  • Oversee maintenance of and update EOAA website, as needed.
  • Provide planning, scheduling, and other logistical support for EOAA educational programs, webinars, conferences and other programs, including assisting staff in the use of technology related to such trainings, such as Google Hangout, UMConnect, Zoom and WebEx.
  • Provide support for special assignments, including staffing EOAA search committee, assisting with the annual revision of the University’s affirmative action plan and assisting the EOAA Director in ongoing University-wide committee work.
  • Serve as the EOAA contact for and/or liaison between EOAA and other groups, including University offices (Human Resources, Financial Systems), Equal Opportunity liaisons, and the general public regarding information on EOAA-related issues.
  • Provide general administrative support to EOAA staff.
  • Supervise student worker and any temporary clerical help.
  • Complete other duties as assigned.

OED is responsible for the University of Minnesota’s system-wide equity and diversity initiatives and programs, and for infusing the core values of equity and diversity into all aspects of teaching, learning, research, service, and outreach at the University. OED includes the following units housed on the University’s Twin Cities campus: Business and Community Economic Development; the Community Outreach, Retention and Engagement Program; the Office for Conflict Resolution; Disability Resource Center; EOAA; the Gender and Sexuality Center for Queer and Trans Life; the Institute for Diversity, Equity and Advocacy; the Multicultural Center for Academic Excellence; NorthStar STEM Alliance; and the Women’s Center.
