The administrative assistant is a part time, non-exempt, 100% grant-funded position that will perform a wide range of administrative and office support activities for the Citizens Assembly Project ( CAP ) to facilitate its efficient delivery. The job will have variable hours and schedule and it may require some weekend work and travel within the Twin Cities Metropolitan area.

Representative Duties and Responsibilities
• Take direction from the Citizens Assembly project coordinator and assistant with a variety of clerical tasks
• Work with constituents/members and various partners involved with the Citizen Assemblies project
• Answer, screen and transfer inbound phone calls
• General clerical duties including photocopying, fax and mailing
• Maintain electronic and hard copy filing system
• Respond to requests for information and data pertaining to the CAP
• Resolve administrative problems and inquiries
• Prepare and modify documents including correspondence, reports, drafts, memos and emails
• Schedule and coordinate meetings, appointments and travel arrangements
• Prepare agendas and schedules for meetings
• Record, compile, transcribe and distribute minutes of meetings
• Open, sort and distribute incoming correspondence
• Maintain office supply inventories
• Coordinate maintenance of office equipment
• Coordinate and maintain records for staff, telephones, parking and petty cash
• All other duties as requested

Required Knowledge, Skills and abilities
• Computer skills and knowledge of relevant software such as Microsoft Office, Google and Google Apps
• Knowledge of operation of standard office equipment
• Knowledge of clerical and administrative duties, procedures and systems such as typing, filing and record keeping
• Ability to work effectively in a fast paced environment with a variety of individuals and programs
• Self-motivated and self-directed work ethic with the ability to evaluate and prioritize tasks
• Ability to meet deadlines and plan out complex projects on timelines
• Excellent oral and written communication skills
• Ability to work with a diverse group of individuals and members of the public

Minimum Education/Experience
• High school diploma or GED equivalent
• 1+ year experience working in as an administrative assistant in a professional office environment
• 1+ year experience working with Microsoft Office Suite products (Word, Excel, Powerpoint)
• Demonstrated knowledge of computer literacy and typing proficiency
• Ability to work a flexible schedule on a week-to-week basis

Preferred Education/Experience
• Formal education/training in a clerical field
• 2+ years experience with progressively increased responsibility as an administrative assistant
• Experience working in a higher education or city government in a clerical support function
