Office Coordinator

Salary Range: $35,000-45,000

Position Overview

Supports the operations of the Inter-University Council Purchasing Group (located in downtown Cleveland) including vendor management, financial tracking, and assisting with IUC-PG member relations. Independently performs administrative support for the IUC-PG Executive Director and for cooperative procurement processes under the direction of the Executive Director and Data/Procurement Analyst. Greets visitors, answers telephone and provides timely responses to requests. Other duties as assigned by the IUC-PG Executive Director.

Duties Description

Vendor Management (30%)

  • Maintain accurate vendor contact information in vendor database and financial tracking spreadsheets
  • Track vendor performance issues for elevation to Executive Director for resolution

Financial Tracking (30%)

  • Track Accounts Receivable for quarterly reporting, identifying payment problems for Executive Director action
  • Generate purchase orders, submit bills for payment, reconcile procurement cards
  • Make suggestions for improvements to financial tracking systems

Assist with Member Relations (30%)

  • Develop and maintain accurate member database
  • Track university self-reporting, encouraging compliance
  • Website maintenance
  • Coordinate and manage logistics of member outreach activities, including meetings and events.

Provide administrative support to Executive Director (complex calendaring and travel) and assist with Cooperative Procurement Process Management as needed. Purchases and maintains office supplies. Coordinates office equipment service contracts and maintenance. Coordinates office maintenance and security. (10%)

Other duties as assigned by the IUC-PG Executive Director.


Required: Bachelor’s degree or equivalent work experience. At least three years experience working in an administrative capacity. Fiscal management knowledge. Proficient in computers and other basic office technology as well as Microsoft Office Suite. Excellent interpersonal skills with a customer service focus; excellent verbal and written communication skills; ability to become certified to use the OSU Procurements system; and experience in managing websites. Ability to organize their work and set priorities, adept at problem solving, able to work independently and in a collaborative group. Ability to understand and adhere to the ethical standards of public procurement. Desired: Experience in public procurement and strategic sourcing. Certification as a Public Purchasing Buyer (CPPB), CPSM or CPM.
